Posting of these documents to the Title Company’s database must be done daily, so that the latest information is available. It is vital that the legal description of the property involved be accurate. This requires timely scanning and coding of each document.

Title Deed Coding - Process Flow
The documents filed with the County Clerk are scanned and collected by the Title Companies.
The companies upload these documents on their FTP servers at the end of each day. Aria’s offshore team downloads them at their facility. Each document page is assigned a Volume/Page that represents the volume or book to which it belongs, and also a page number. Each document also receives its own unique Document Number. These two entities, Volume/Page and Document Number, combine to serve as a Control Number for each document.
The documents are then categorized by Document Type. Each Title Company has a distinct set of Document Types and this is used as a look-up table for assigning a unique Document Type prior to the actual keying.
Elements to be keyed
The basic elements that are to be keyed can be divided into four major categories:
- Parties related information (Grantor/Grantee)
- Legal Description of the property involved in the document (Subdivision, Block, Lot or Acreage related details)
- Prior References mentioned in the document
- The Addresses of Properties and Parties involved
Keying elements are identified after reading the documents. As elements differ from document to document Aria’s proprietary tools enable the coders to identify the proper elements.
Aria divides the documents into groups where information to be keyed is more or less common. Further, Aria allocates the coding work to specific coders based on elements that pertain to Party/Legal/Document. Because the coders key the same elements each day they develop a specific expertise, resulting in an extremely high level of accuracy.
Quality Control Measures
Where an accuracy level of 99.95% must be maintained, Aria addresses the following areas:
- Identification of correct data elements from the document
- Accuracy of the data elements selected.
Aria assures 99.995% accuracy by having two different operators each capture data from the same image. A Compare Operator compares the two data files generated, thus assuring the highest accuracy level.
